Are you an organised, detail-oriented professional who thrives in a fast-paced environment? We’re looking for a proactive Executive Support Officer to join our team and provide high-level support to our Director and Central West, Orana and Far West Team.
This role is a fantastic opportunity to play a key part in the smooth and efficient running of executive operations, while contributing to the achievement of organisational priorities.
About the Role
As the Executive Support Officer, you’ll deliver a wide range of executive and administrative services to ensure the Executive’s time is used effectively and priorities are managed smoothly. Your role will be central to keeping things running smoothly and ensuring the Executive can focus on delivering strategic outcomes.
Your responsibilities will include:
- Managing the Directors calendar, coordinating meetings, travel, and correspondence.
- Assessing and prioritising incoming requests to support effective time and workload management
- Preparing and formatting high-quality documents such as briefing notes, agendas, presentations, and reports
- Supporting decision-making by gathering and collating relevant background information
- Providing logistical support in line with policies (e.g. travel, fleet vehicles, accommodation)
- Maintaining efficient administrative systems and processes to streamline workflows
- Liaising with internal and external stakeholders to coordinate meetings and manage the flow of information

About You
You’re a highly organised and adaptable professional with a keen eye for detail and a strong ability to manage competing priorities. You take initiative, solve problems before they arise, and approach your work with a client-focused mindset.
To succeed in this role, you will have:
- Demonstrated experience delivering executive support services in a professional and responsive manner.
- Excellent time management and organisational skills.
- Strong written and verbal communication abilities, with a knack for clear documentation.
- Proven ability to manage calendars, travel, and logistics with accuracy and discretion.
- A proactive and flexible approach to changing demands and expectations.
- Confidence using digital tools and systems to improve workflow and communication.
- Strong interpersonal skills and the ability to liaise with stakeholders at all levels.
In addition to this, you will also meet the following essential requirements:
- An ability and willingness to travel within NSW and support other operational roles during disasters, emergencies and other events, consistent with skills, background and personal circumstances.
- Current unrestricted NSW drivers’ licence

About the Agency
The NSW Reconstruction Authority (the Authority) is a statutory corporation within Planning, Housing and Infrastructure. The Authority will improve how NSW plans for disasters and help communities to recover from them faster.
To reduce the severity and impacts of disasters, the Authority will complete critical planning and preparation with communities, NGOs, businesses, and government. When disaster does strike, we will get recovery started swiftly and coordinate reconstruction efforts across agencies, communities, and other stakeholders.
