Employment type – Ongoing and temporary full-time roles for 12 months with the possibility of an extension

Salary - $82,193.00 pa - $90,001.00 pa, plus employer's contribution to superannuation and annual leave loading

 

 

Your role

 

One of the key principles guiding out-of-home care (OOHC) in NSW is that children’s safety and wellbeing benefit from stable, permanent placements.

 

As an Administration Officer, you will support either a dedicated team that undertakes and completes high quality and culturally responsive general foster carer recruitment, enquiries and support.

 

This is a full-time office-based role in Paramatta. There is an expectation that you are in the office up to 5 days per week.

 

What you’ll do

 

As an Administration Officer, you will:

 

  • Manage the Fostering with DCJ Information Line and provide exceptional customer service during business hours.
  • Manage a high-volume, fast-paced mailbox to support information flow, decision making and overall coordination for the team.
  • Build positive relationships with internal and external stakeholders.
  • Data entry and responding to emails within tight timeframes from broad stakeholders.
  • Records management, travel and accommodation bookings.
  • Meeting coordination, recording meeting outcomes.
  • Prepare routine correspondence to support the effective operation of teams.
  • Developing effective and efficient team processes and systems, as well as internal resources.
  • Organisation and support for events for carers.

 

The HCEA Strategy Unit is made up of multiple teams who work together to achieve a reduction of the number of children and young people in high-cost emergency arrangements (HCEAs), scrutinise and reduce the costs associated with these arrangements and reduce the number of vacancies across the funded service system.

 

In addition, the project teams are working to increase placement supply and implement strategies to achieve stability within current out of home care (OOHC) placements.

 

Fostering with DCJ Team

 

The Fostering with DCJ team undertakes the authorisation of foster carers from the point of enquiry, through to eligibility screening, training, foster carer assessment, foster carer onboarding and support. The Administration Officer will support the team by managing a busy mailbox, allocating enquiries to team members, data entry, implementing the Fostering with DCJ Information Line as well as undertaking other administrative tasks to support the team’s core functions.

 

What we’re looking for

 

In addition to the essential requirements listed in the role description, the ideal experienced Administration Officers would have:

 

  • Sound understanding of the child protection and OOHC sector
  • Ability to engage and inform the public about the role of a foster carer and of DCJ
  • Highly developed organisational skills and ability to work to tight timeframes
  • Willingness to learn, and can answer general questions about all types of carer recruitment
  • Hold knowledge of foster and relative/kinship carer assessment, authorisation and support
  • Have experience with managing car and room bookings, procurement and flex sheets
  • Experience recording on client information systems e.g. ChildStory, TRIM or other relevant platforms
  • Experience with mailbox and phone line management
  • Demonstrated ability to work collaboratively with other people, teams and stakeholders
  • An eye for detail and ability to support resource development
  • Experience using Microsoft Office Suite including SharePoint, Excel, MS Teams and PowerPoint
