Location: Parramatta (hybrid working, days in office negotiable)

Employment type: Ongoing Full time

Salary: Clerk Grade 9/10 ($120,859 - $133,183 pa), plus employer’s contribution to superannuation and annual leave loading

 

Your role

 

As an Executive Officer (Communications, Engagement and Governance), you will be responsible for managing and coordinating of change activities, staff engagement and leadership communication/material, as well as high-level secretariat functions and assistance with strategic initiatives to support public sector senior executive(s) in managing their operation area/directorate/division and achieving business objectives.

 

 

What you’ll do

 

As part of the Office of Deputy Secretary team within Corporate Services, you will work as part of a small integrated team providing high level executive support, with a focus on communications and engagement to the Deputy Secretary and the division’s leadership team. This includes:

 

  • Coordinating and scheduling Deputy Secretary Communications, including liaising directly with other branches and divisions. This will require developing and drawing on your broad knowledge of the Corporate Services portfolio policies and priorities and how this aligns with wider Department and Government policies and priorities.
  • Working with the Deputy Secretary and Office of the Deputy Secretary Manager to coordinate and implement strategic engagement objectives.
  • Providing planning, logistical, and administrative support for Deputy Secretary key staff engagement forums, governance activities and secretariat function for a number of committees, and executive communications.
  • Undertaking ad hoc tasks at the direction of the Office of the Deputy Secretary Manager and/or Director in response to business requirements often in compressed timeframes.
  • Supporting the Office of the Deputy Secretary Team business needs, including supporting workflow, Ministerial requests, and any other aspect of the Corporate Services role.
  • Establish, implement, monitor and evaluate change and communications practices, business systems and procedures to provide a support function with maximum efficiency and effectiveness.

 

Key challenges 

 

  • Progressing multiple pieces of work with competing priorities and deadlines.
  • Interpreting high level executive directives and implementing the respective work with a significant degree of autonomy.
  • Anticipating and addressing contentious issues and providing accurate advice on complex issues often within tight timeframes, given the need to collect and analyse information from a variety of different sources.

  • Excellent written and verbal communication skills with internal and external stakeholders.
  • Experience reviewing and preparing executive communications.
  • Strong initiative and analytical skills.
  • The ability to produce high quality, accurate and timely analysis, advice, and responses in a high workload and time pressured environment.
  • Excellent time management, multi-tasking and organisational skills.
  • The ability to work effectively in a team.
